eZ-Projects Features
eZ-Projects™. offers a secure Software as a Service (SaaS) online environment from which subscribers can open a project, add users, set up project teams (company team, counsel team, underwriter team, accounting team, financial advisor team or invite other third party individual users) and set security rights for each appropriate for the tasks required of that user. This enables each project to be controlled by the project lead. Included in the basic service is:
- Secure Document, Project and Contact Management: with version control and built in PDF "Print Ready Proof" generator that will enable our customers to stitch multiple file together into one PDF file for publishing, printing and or distribution.
- Un-Secure Folders: are folders where you can place documents for mass distribution so that non-member relationships (distribution lists) can see a document instantly when you attach a link to your email
- Secure Folders: are folders that are locked down so that only those users with access permission rights can access files and content within secure folders.
- Auto Hyperlink Document Upload (AHDU): is a very efficient way to communicate with a large number of people using the minimum amount of effort. Our built in email distribution system enables authors to set individual folders with various automated email parameters. AHDU is one feature that enables all members of a working group to receive automated, pre-template emails, with variable data content substitution functionality, on key words to capture specific author, user, recipient, file and folder names to send highly professional quality emails with only one simple template. When a new or revised document is uploaded to the system our AHDU automatically sends highly personalize emails to all authorized members with rights to that project or folder and includes, building through automation, a hyperlink to the file(s) uploaded from which an authorized recipient will be able to open see the document(s) without having to log into the system. If the recipient is not authorized to view the document, that user will be directed to the systems log in screen where they will need to know the proper username and passcode to enter and view secure documents and content.
- Security Rights: enable you to customized access rights to every feature and function of the system for various users on any project just the way you want them to be
- Announcements: enable customized announcements like welcome to a given project message
- Discussions: enables authorized users to start a discussion topic and define who can participate in the discussion keeping track of comments made to document with the project key information so you don't have to wonder on what date or where an email message of importance is
- Links: enables you to set up appropriate links with external sites necessary to ensure a smooth and fully integrated solution environment from which the working group is engaged on a project
- Web Builder: enables you to create additional web pages on the fly to support any additional project requirements you feel are appropriate
- Task Assignment, Scheduling and Calendars: are an easy way to keep projects on time and on budget while also using automated system features and functions to better manage individuals and the assigned tasks they been issued on any given project. Our system has escalation built in so if a deadline is approaching and has passed on a given task the manager can set parameters so the system will automatically send email reminders to both individual to which a task was assigned and manager(s) overseeing the project to help keep deadlines from being missed and project costs from escalating.
- Surveys & Polls: is a powerful database feature enabling you to build your own survey or poll using text, number, drop down menus, radial buttons from which all the results are stored for any given project in one central repository always available to authorized users
- Forms Builder: enables you to create enrollment forms, internal forms or any type of form you want to gather critical data from prospective clients, clients or third party suppliers to centralize and streamline the relationships spectrum
- CRM: enables full client records management for tracking and qualifying leads or current clients for any given project that is coming down the sales pipeline
- eLearning: is a powerful classroom course building program you can use to train staff or certify internal or external relationships on policies, procedures or instructions that may be required for compliance which is also set up to test and grade if needed
- Internal email: is configured within the system to enable standard emails or custom emails with our integrated template features for standard pre-formatted emails to be sent from within a project working group to any individual, team or group which helps streamline and simplify the communications processes in project management lifecycles

eZ-Draft ™ module is our proprietary and streamlined process to enable multiple versions of a given draft to be reviewed and/or edited by team leaders or project leads to ensure the integrity of the Master Document and keep the control at the appropriate level of assigned author's in a highly secure environment on-line enabling real time editing. Every document created in eZ-Draft ™ module can be converted to a print ready "typeset" document at the end of a drafting session, using our PDF “Print Ready” generator, even though the working group members are editing the document on the web or in their own word processing environment they are most comfortable working with (i.e.: MS Word, Corel's WordPerfect, MS Excel etc.). This streamlined technology enables authorized users of the system to send a final document in a properly prepared commercial print ready file format to the printing plant of their choice right from within the system.
With our eZ-File ™ module, a user can convert a standard word document to a properly prepared HTML EDGAR format document and file it with the Securities Exchange Commission (SEC). The LIBAC solution enables you to send e-mail proofs to anyone you have assigned as an authorized participant within the distribution list or working group. When you are ready, simply push the button and file the document with the SEC. This exciting technology makes converting and filing SEC compliant documents easy, cost effective and fun.
eZ-Quote ™ module is a revolutionary on-line "request for proposal" (RFP) system which enables authorized users to enter print specifications and select from a variety of highly qualified, ISO approved printers that have been meeting client's tight timelines and high quality standards for decades.
eZ-Distro ™ module is a fantastic way to keep key relationships for any project being stored and/or updated within the LIBAC service offering enabling electronic delivery and tracking. eZ-Distro ™ also enables hard copy documents to be delivered and tracked using U.S. Mail, FedEx or UPS.
